AYC is the youth camp of the Adambakkam and Madipakkam Christian Assemblies, Chennai. We are the people responsible for the information you provide during registration. You can reach us at assemblyyouthcamp@gmail.com.

Only what the camp genuinely needs to run:

• Camper details — full name, date of birth, age, gender, class / standard or degree.
• Contact details — parent or guardian name, email address, and four phone numbers (parent's phone and WhatsApp, camper's phone and WhatsApp), so we can reach you by email, WhatsApp or SMS.
• Address — house number, street, area, city and pincode.
• Church details — assembly name and city, and whether the camper is regularly in fellowship there.
• Camp-related answers — preferred language for sessions, whether the camper has attended AYC before (and, optionally, the year and Reg ID), and answers about baptism and faith which help us place campers in suitable groups.
• A photograph or scan of the signed declaration form, which carries the camper's signature, the parent or guardian's signature and the assembly seal.
• Any contribution amount you choose to record.

We do not collect location data, contacts, browsing activity, or any advertising identifiers. The app requests camera access for the single purpose of photographing your signed form.

• To register the camper and issue a Reg ID.
• To send confirmation and camp updates by email, WhatsApp or SMS.
• To allocate campers into groups by age, gender and language.
• To verify that the signed declaration form is genuine and matches the registration.
• For safety and administration during the camp, including contacting a parent or guardian in an emergency.

We do not use your information for marketing, and we never sell or rent it.

AYC is for young people aged 14 to 22, so many campers are minors. Registration therefore requires the consent of a parent or guardian, given on the printed declaration form which they sign. We ask for no more information about a minor than the camp requires, and we do not profile campers or serve them advertising.

• Data is stored in India — our database and file storage are hosted in the Mumbai (ap-south-1) region.
• The photograph of your signed form is encrypted on your own device before it is uploaded, so it travels and is stored as ciphertext. It is kept in a private storage area that is not publicly reachable.
• Photos are re-encoded on your device before they are sent, which removes the hidden metadata a camera adds — including the location where the photo was taken.
• Access is limited to authorised AYC organisers, and every viewing of a signed form is recorded in an access log.
• Registration links carry a per-registration secret token, so a Reg ID alone cannot be used to view someone else's details.
• All traffic between your device and our servers uses HTTPS.

Your assembly leaders may see the campers registered from their own assembly. Beyond that, we share information only with the service providers that operate the system on our behalf — our hosting and database provider, and our email provider for sending confirmations. They process data solely on our instructions. We do not share information with anyone else unless the law requires it.

Registration records are retained for camp administration and historical statistics across camp years. Photographs of signed declaration forms are far more sensitive, and are deleted approximately one month after the camp ends — automatically, by a scheduled job, not on request.

You can ask us to show you the information we hold about a camper, correct anything that is wrong, or delete it. Registration is voluntary — but without the details above we cannot register a camper for the camp.

To request deletion, use the deletion request form, or email us with the camper's name and Reg ID. We confirm who you are before deleting anything, so that nobody can erase someone else's registration.

If we change what we collect or how we protect it, we will update this page and change the date above.
